Yellow Duck Childcare Ltd collects a range of information about you. This may include:

  • Details about children from families, for example for babysitting and nannying purposes

  • Details of next of family members and next of Kin
  • Information about your suitability to work with children including medical fitness, disqualification by association, Disqualification and Barring Service (DBS) details
  • Details of your qualifications, skills, experience and employment history
  • Information about your current level of remuneration, including benefit entitlements
  • Whether or not you have a disability for which the organisation needs to make reasonable adjustments during the recruitment process
  • Information about your entitlement to work in the UK and other screening information
  • Information about children such as name and date of birth

Disclosing any personal information to us about another person will require that person’s consent. You warrant liability to gather consent to both disclose and process that persons’s personal information.

When processing DBS information or checking the DBS update system
When you apply for temporary work, a vacancy internally or externally with us or one of our clients

3. Use of the information collected

Yellow Duck Childcare Ltd is the sole owner of the information collected on this site. We will not sell or rent your information with others. 

We are required to hold your personal data for various legal and practical purposes without which we would be unable to offer you work, employ you, provide temporary staff, provide babysitters or nannies. We may use your information to:

  • To ensure that the information we hold about you is kept up-to-date
  • To completed DBS checks, including use of the update service
  • To comply with all legal requirements for those working with children
  • To deal with any disputes that may arise
  • For any other purpose for which you give us your consent to use Personal Data
  • To comply with legal obligations e.g. HMRC, pensions
  • To satisfy assignment booking requests 

We may share your personal data:

  • With our Employees
  • With our clients such as families and clients
  • With our temporary staff, nannies and babysitters
  • Where we are under a legal obligation to do so, for example where we are required to share information under statute, to prevent fraud and other criminal offences or because of a Court Order for example HRMC, the police.

Yellow Duck Childcare Ltd does not currently use cookies on this Website.

4. Storing your Personal Information

Yellow Duck Childcare take all steps necessary to ensure your personal data is kept, treated and stored safely and securely in agreement with our privacy policy. 

4.1 Personal data that is stored by us is done so in a secure server which is password protected. 

4.2 The transmission of information across the internet is not completely secure at all times. Sending information electronically is at your own risk as we cannot guarantee the security. 

4.3 Personal data will not be stored and processed for longer than it is necessary. 

4.4 All paper copies containing personal data are kept on site in a locked filing cabinet at all times.

Yellow Duck Childcare takes every precaution to protect your personal data. 

5.1 We protect your personal data through reasonable technical and organisational precautions. We endeavour to protect your personal data from loss and misuse.

5.5 Your password or members number is unique to you. You are responsible for the safety and security of your password and member number.

We acknowledge the safety of transmission of information over the internet cannot always be guaranteed. Personal data transmitted online is at the Users risk. If the information you would like to communicate is sensitive, such as a credit card number, you may want to provide the information via telephone number.

Yellow Duck Childcare Ltd links to third party websites. We endeavour to link to secure websites and advertisers with high standards and respect to privacy. Yellow Duck Childcare does not take any responsibility for the content of or privacy practices used by third party websites. 

7. Your Rights 

7.1 You have the right to use this Website without providing any personal data. To benefit from all services, some personal information must be provided. 

7.2 You have the right as to obtain any personal information we hold about you subject to a payment fee of £10.00 and the supply of your identity; photocopy of a passport or driving license and proof of address. 


7.3 You have the right to request Yellow Duck Childcare Ltd do not process your personal data for marketing purposes. We will always collect you consent before collecting data for such purposes. 

7.4 You have the right to request the deletion of your data where there is no compelling reason for its continued use. However, Yellow Duck Childcare Ltd has a legal duty to keep records for example temporary staff records must be kept for 6 years before they can be erased and 22 years (or until the child reaches 24 years) for child protection records. ​
